Working with sensitive material?

Please do not attach confidential or restricted source recordings to your first email. Describe the material first. Once the project conditions are clear, files can be transferred through R2 Mechanics’ dedicated Nextcloud-based project upload environment or another agreed transfer method.

Upload and processing conditions are defined before source material is exchanged.

What helps us assess your project.

The material

Recording type, approximate total duration, number of files and the context of the collection — for example archival, research, institutional or documentary.

Audio, speakers & languages

Known recording problems, multiple or overlapping speakers, languages used, language changes and any other source conditions already known to you.

What you need to do with it

For example: create a source-faithful transcript, make a collection searchable, support research, prepare editorial material or produce structured outputs for further use.

Handling & timing

Confidentiality requirements, institutional handling conditions, relevant deadlines and any existing requirements for delivery or retention.

You do not need to have all of this defined before contacting us. A short description of the material and what you want to achieve is enough to begin.

Review

We review your description and identify the source conditions, requirements and any questions that need to be clarified.

Define the scope

We agree the handling conditions, processing scope, expected outputs and project timeline in writing before processing begins.

Arrange the material

Once the scope is clear, we provide the appropriate project transfer route — including our dedicated Nextcloud-based upload environment where suitable — and processing can begin under the agreed conditions.

Start with a representative sample.

A first project does not need to begin with an entire collection. R2 can process a representative sample end to end to assess source condition, speaker and language complexity, review requirements and the most useful enrichment and delivery layers.

The sample is processed with the same layers intended for the larger project, so the institution can evaluate the actual output — not a reduced demonstration — before scaling the workflow.

Sample scope and turnaround are agreed in writing before processing begins.
